Operations Coordinator (6 month fixed term contract)

CodeBase is a tech ecosystem support organisation and startup incubator that helps people build better tech startups. We help people build and grow better tech startups through community, education, and workspace. 

CodeBase has created and delivers startup programmes for a number of organisations including the Scottish Government, the UK Government, Local Authorities and large corporations. We promote and facilitate collaboration in tech innovation by working with startups, scaleups, corporates, governments, academia, investors and the third sector. CodeBase also delivers scaleup and corporate programmes across industry verticals such as law, health and energy, which connect and educate corporates, startups and scaleups.

What are we looking for?

The CodeBase Operations team manages finance, HR, IT, legal, health and safety, and office requirements for the wider CodeBase team. We’re looking for an excellent administrator to support the team, on a fixed term basis for a period of 6 months.  This role will be based in our Stirling hub, providing Operational coordination for the Stirling hub, as well as supporting the wider Operation team in Edinburgh.

You’ll be an all rounder, who is comfortable working through administrative tasks, but also occasionally shifting furniture and sorting out cabling. Our Operations Coordinator will be someone who enjoys organising and takes a methodical approach to tasks and procedures. You’ll be able to manage your own workload, adapt and reprioritise as required. We’re looking for someone who is proactive and will use their initiative to suggest improvements to current systems. You’ll be approachable and a confident, diplomatic communicator. You may be working on projects which require confidentiality, so an understanding of data protection and commercially sensitive information would be beneficial.   

You’ll be interested in all aspects of Operations and be keen to learn more about the different elements. We see this role as a development opportunity for someone who would like to gain a broader understanding of the systems, policies and procedures which support a growing business.

What will you be doing?

  • Providing on-site operational coordination for Stirling hub (fulfilling building tasks on behalf of the Edinburgh based Buildings Operations Manager as required)
  • Supporting Stirling reception cover and basic facilities tasks (covering lunch breaks and other leave) - on occasion opening and closing the building may be required.
  • Assisting with purchasing, logistics and reporting
  • Providing general administrative support to the Operations team
  • Supporting the HR manager with recruitment and training administration
  • Updating internal policies and procedures to ensure they are easily accessible and available to all staff
  • Responding to internal and external inquiries and directing them to the correct team member when required
  • Scheduling meetings and interviews and booking suitable spaces
  • Monitoring and ordering office supplies
  • Working with the wider Operations team to support specific projects as needed

What do we need from you?

  • Strong admin/coordination experience
  • Front facing customer service experience
  • Proactive and effective communication
  • Comfort researching information for answering queries and updating internal information pages
  • Strong attention to detail and email communication skills

What will you get?

  • £27k - £33k per annum
  • Full-Time equivalent staff are entitled to 28.5 days holiday + 2 weeks off over Christmas and New Year

About the job

Work Days: This role is 35 hours a week over 5 days, 9am - 5pm. While the majority of our company works a 4 day week, we have identified that this role is required for 5 days due to the hub opening times. Please note that this role will require out of hours working from time to time for which you will receive time off in lieu.

Location: Stirling - 8-10 Corn Exchange Road (close to main bus routes and train stations)
