Buildings Operations Manager

Who are we?

CodeBase is a tech ecosystem support organisation and startup incubator that helps people build better tech startups. We help people build and grow better tech startups through community, education, and workspace. 

CodeBase has created and delivers startup programmes for a number of organisations including the Scottish Government, the UK Government, Local Authorities and large corporations. We promote and facilitate collaboration in tech innovation by working with startups, scaleups, corporates, governments, academia, investors and the third sector. CodeBase also delivers scaleup and corporate programmes across industry verticals such as law, health and energy, which connect and educate corporates, startups and scaleups.

CodeBase offers flexible workspace (hotdesking, coworking and office space), delivers expert accelerator and mentorship programmes, hosts a peer-led community for people in the startup ecosystem to meet and connect with each other, and delivers a wide range of collaborative industry-startup bridge programmes.

What are we looking for?

We are looking for someone who is friendly and welcoming and able to juggle a fast changing task list and knows how to prioritise on the fly. It would benefit someone who is happy getting stuck in when required but is confident delegating tasks to others in the team or to contractors as required. You should have experience in managing facilities/buildings operations in a customer facing environment, a strong understanding of health & safety regulations; as well as the ability to build strong working relationships with colleagues, contractors, and our community.

What will you be doing?

Context - Our Edinburgh site is our primary hub that covers about 44,000 square feet. We have to work with the building management of our landlord who manages the communal areas. The majority of your time will be spent here with only the occasional trip to Stirling expected. The Stirling hub is smaller and owned by Stirling Council who are responsible for a number of traditional building management functions, including most repairs; however there will be a degree of stakeholder management required with the council.

  • Running building operations across Edinburgh and Stirling
  • Manage suppliers, maintenance and H&S compliance
  • Line managing the Reception Team (2 in Edinburgh and 1 in Stirling) and ensuring coverage through rota planning (other team members can help fill gaps on occasion if required)
  • Planning preventative maintenance; overseeing contractors
  • Managing building budgets and contracts with support from others in the Operations team.
  • Supporting community engagement and space utilisation through tours and presenting a welcoming environment.

What do we need from you?

  • Facilities/building management experience
  • Knowledge of relevant health and safety regulations
  • Experience in a customer facing role
  • Experience managing contractors
  • A calm, organised and customer-focused disposition
  • Ability to work effectively under pressure

  • Circa £45k per annum
  • 28.5 days holiday + 2 weeks off over Christmas and New Year

About the job

Work Days: This role is 35 hours a week over 5 days, 9am - 5pm. While the majority of our company works a 4 day week, we have identified that this role is required for 5 days due to the hub opening times. Please note that this role will require out of hours working from time to time for which you will receive time off in lieu.
